How to Extract Data on a Windows Computer

Please note, if a participant deletes their account you will lose access to any data they have input. For this reason, we recommend you export data periodically.

 

PGP (pretty good privacy) based encryption

 Zamplo uses PGP based encryption, a public/private key encryption scheme, to protect your exported files. This allows us to encrypt files so only someone with your private key can open them, even the Zamplo team can’t decrypt the files without your private key. 

PGP uses a public key and a private key to encrypt and decrypt files. The public key is the key you share with the Zamplo team, and the private key you keep only to yourself. Zamplo uses PGP encryption to protect your participant data. 

Note #1: You should keep your private key safe, and not share it with anyone. Always use drive encryption such as BitLocker on Windows. 

 

 Install Gpg4Win: https://files.gpg4win.org/gpg4win-4.0.3.exe

  • When the “Choose Components” screen appears, only “Kleopatra” and “GpgEX” need to be selected. 

Next, you will need to create a new key that can be used with Zamplo Research’s file encryption: 

  1. Click the “New Key Pair” button 
  2. Enter your name and the email address you use to login to the Zamplo Research portal 
  3. Ensure the “Protect the generated key with a passphrase” checkbox is selected 
  4. Click “Create” 

Now that a private key has been created, make sure to back it up and store it in a safe place. To do this: 

  1. Select the “Make a Backup Of Your Key Pair...” option 
  2. Save it in a safe place, such as a password manager 
  3. Click the “Finish” button 
  4. You can import your key in the event that you work on more than one computer. Your key is a standard format so it can be imported into both Windows and Mac devices. 

Next, you will need to send your public key to the Zamplo team so we can encrypt your files. To do this: 

  1. Open the Kleopatra main screen 
  2. Here you will see a list of your keys 
  3. Right click on your new key and then click on “Export” in the menu that appears 
  4. Save the public key as a file in a place you be able to find it 
  5. Send this new file as an attachment to support@zamplo.org and indicate in the email the email address you used to create the key. This should be the same as the email address you use to login to Zamplo Research 

Note #2: Once you have sent the Zamplo team your public key and email address, give the team some time to configure your encryption key before starting any exports. We will send you an email when this is complete. 

 

Next, let’s complete an encrypted export test. To do this we will export the participant list. 

  1. Open Zamplo Research 
  2. From the top of the screen, select the “Study Profile” drop down and select the study name 
  3. Navigate to the left side of the screen and click on “Manage Participants” 
  4. Make sure you have at least one participant in the list. If there isn’t one, you can add one by selecting “Add Participant” at the top 
  5. Click the “Export List” button in the top right 
  6. Enter the name of the file and click the “Export (csv)” button 
  7. Note: if prompted, make sure to save the file in a location you will remember. If you aren’t prompted, you will find the file in your downloads folder 

Now that the file is downloaded, it’s time to decrypt it. 

  1. Open the Windows File Explorer 
  2. Navigate to the destination the file was saved to 
  3. Right click on the file and select the “More GpgEX options” and then select “Decrypt” 
  4. Note: a window should popup but if it doesn’t, navigate towards the Kleopatra icon in your task bar and click on it 
  5. Enter your private key passphrase to unlock your decryption key 
  6. Make sure to set the Output Folder by clicking on the button to the right on the text bar and ensure the location is secure as the file will contain participant data 
  7. Click the “Save All” button 
  8. Open Windows File Explorer 
  9. Here you will be able to see your decrypted CSV file and you can open it using any spreadsheet tool 

You are now ready to download encrypted files from Zamplo Research!

Let’s go over how to download survey and routine data that has been collected for your study. 

  1. In Zamplo Research, navigate to the left and click on “Extract Data” 
  2. Click on “Export Data” in the upper right corner 
  3. Give the file a name 
  4. Select the data items you want included in the export 
  5. Click on “Export (Zip)” 
  6. Before opening any exported file, it must first be decrypted 
    1. Right click on the downloaded zip file and select “Extract All” 
    2. Choose a file name and location. Note: the default will extract to the same location as the zip file 
    3. Make sure the “Show extracted files when complete” checkbox is CHECKED 
    4. A new window will popup, in this window double click on the file you want to decrypt 
    5. When prompted, enter your encryption key password 
    6. Reminder, if the Kleopatra window doesn’t automatically appear, click on the icon in the task bar 
    7. Choose the file location you want to save to and click “Save All” 
    8. Now you can open your file using any spreadsheet application
